Unser Weg zur Ultrace 2025 – wie wir eine außergewöhnliche VIP-Zone geschaffen haben

Two days of the event. Fifty thousand visitors. Three projects. One hundred square metres of space. The very first VIP zone of its kind.

Ultrace 2025 was approaching fast, and at adsystem we knew this would be an event that would set new standards for our work. It’s a celebration of passion, speed, drifting, and tuning, attracting thousands of fans and professionals from all over Europe. And we had the honour of being there as a supporting partner of the festival.

Planung und Konzept

It started with a plan – how to create a space that would not only be comfortable and elegant but also connect with the automotive spirit of Ultrace. The mFrame modular exhibition system we usually use for various indoor projects were partially adapted for this exceptional event. Our main goal became building a two-level VIP zone with a multi-metre Video Wall screen, displaying Ultrace visuals.

We had only 5 days to build it, although the whole project started two months earlier when Ultrace 2025 signed a contract with us. We created a series of 3D visualisations and designs so the client could see the potential structure. Every element had to fit perfectly – from information totems and the adsystem stand with a Toyota, to the drift zone. We knew this would be our first cooperation with such a large-scale event and a challenge that would engage all our skills and experience.

During our first meeting with the organisers, we discussed how our company could make an impression at such a prestigious event. Soon, three project concepts emerged for the event: the VIP zone – the heart of the show, information totems, and a partner stand for adsystem.

Projekt 1: VIP-Bereich

One of the biggest challenges turned out to be the roof on the upper level of our two-storey VIP zone. The mFrame system is not designed for harsh outdoor conditions, and Ultrace was held in an open area at the windy Tarczyński Arena. On top of that, this was the first construction of its kind, so none of us had experience with such a solution.

We decided to take on the challenge and test how the systems would perform outdoors. Thanks to ideas from our production department, we created a roof prototype supported by a pillar, and the entire structure was weighted down with water-filled containers in case of adverse weather. In some areas, we used prints on outdoor-grade material to enhance the structure’s water resistance. We must admit that the final effect passed the test – the VIP zone was not only stable but also made a huge impression on all the guests.

Projekt 2: adsystem-Zone

As an event partner, we were given our own space to design. At the heart of our stand was a Toyota Supra – an automotive icon meant to catch the eye and spark strong emotions.

We knew it was a big project that required the right setting. Once again, we used mFrame systems to create a space that not only showcased the Supra but also reflected the dynamism of the event and the model itself. A video screen at the stand displayed Toyota’s latest achievements, and the entire arrangement was unique, interactive, and full of energy – just like the Toyota itself.

Projekt 3: Informationstotems an strategischen Punkten des Events

The event featured different activity zones: from VIP wristband collection and the drift area to an art gallery dedicated to car parts. In these locations, our partner requested the placement of information totems. We created them using the CTF system and weighted them down with water containers. As a result, we clearly marked the key points for visitor information.

Ultrace 2025 – ein Erfolg, der uns überrascht hat

When we first saw our zone live, we couldn’t believe that what we had created had truly become part of Ultrace 2025. Two days full of drifting, powerful machines, and unforgettable emotions – and in the middle of it all, our VIP zone, which became one of the most frequently visited spots at the event.

Ultrace 2025 is an event that will always be part of our history, and we’re already planning what we’ll do next time!
