Why is file verification important in the order fulfillment process?

Verifying graphic files is a key step in ensuring successful order execution. Oversights in submitted materials can lead to production errors, delays, and additional costs. Properly prepared files help prevent these issues, ensuring a smooth and efficient production process. Verification is also essential for maintaining the highest quality of the final product – which is especially important in advertising projects, where every detail matters.

File verification in practice – how we do it at adsystem

The file verification process at adsystem is based on two stages: automatic analysis via our File Checker system and a visual assessment by our graphic design team. If you’d like your project to be reviewed by our designers, simply check the appropriate box when placing your order.

Automatic verification begins immediately after the files are uploaded. The File Checker program reviews whether the design complies with our guidelines. If the files are correct, the system allows the order to proceed. If any errors are detected, the system indicates which elements need to be corrected. Files that don’t meet the requirements cannot be uploaded, which helps eliminate basic mistakes early on.

Customers can also preview their design in 3D when placing an order. This feature allows them to see how their artwork will appear on the selected product – such as a display wall or event tent. If the preview is unsatisfactory, the client can make adjustments and upload updated files to ensure the final result meets expectations.

After the automatic check, the files are sent to our graphic team for a more detailed review – if the client has requested this step.

Size compliance
The designer checks whether the dimensions of the submitted file match the product guidelines. For custom files, the dimensions defined in the system are verified.
Correct use of the template area
The designer ensures that the design fills the entire layout area and that all key elements – such as logos – are placed within the safe zone marked by red lines. The overall composition is also reviewed to match the characteristics of the product (e.g. proper logo placement on flags or premium tent legs).
File resolution
The designer verifies that the graphic file has the correct resolution: 120 ppi for files at actual size, or 1200 ppi for files prepared at 1:10 scale.
Color mode and profile
The designer checks that the file is correctly saved in CMYK color mode.
Overprint attribute
The designer verifies that no overprint settings are applied in the file to avoid printing errors.
Graphic element quality
The designer reviews whether elements like logos, patterns, and backgrounds are optimized for sharpness, saturation, and color balance to ensure high-quality print results.
Multi-element files
The designer checks whether multi-panel files that form a single composition are properly aligned and include shared visual elements.
Unnecessary elements
The designer removes any unnecessary components such as crop marks, system frames, or visible defects that may affect the final product’s appearance.
Black color settings
If the client has requested a deep black effect, the designer verifies the correct color configuration.
Fonts in the file
The designer ensures all text elements are flattened or converted to outlines to prevent font display issues.

What is not included in file verification?

At adsystem, file verification focuses on the technical aspects of preparing graphics for print. This process does not include checking for color consistency between different files. In other words, variations in shades or tones are not analyzed. The verification also does not cover content review, layout assessment, or aesthetic evaluation. Our designers do not adjust or rearrange elements within the design.

Graphic designers are also not responsible for ensuring compliance with a brand book. If the project must adhere to specific branding guidelines – such as brand colors, fonts, or layout structures – the client must clearly communicate this when placing the order.

Technical verification helps eliminate basic errors, but full alignment with expectations requires the client’s attention and diligence, especially regarding content, visual style, and advanced graphic effects.
